Privacy Policy

Foodgear Learning Hub Sdn Bhd ("we", "us", "the school") operates the website foodgear.help and provides online English language education services. This policy explains what personal data we collect, why we collect it, and the choices you have. We process personal data in accordance with the Malaysian Personal Data Protection Act 2010 (PDPA).

1. Data we collect

We collect only what we need to run a language school properly:

• Contact details — name, email address and phone number, provided when you send an enquiry, book a level check or enrol in a course.
• Learning information — your assessed level, course history, attendance, homework records and teacher feedback, created during your studies.
• For students under 18 — a parent or guardian's contact details and consent, plus the child's first name and age group.
• Payment records — invoices and payment confirmations. Card processing is handled by our payment providers; we never see or store full card numbers.
• Technical data — basic server logs (IP address, browser type, pages visited) kept for security and troubleshooting.

2. How we use your data

• To respond to enquiries and schedule level checks and lessons.
• To deliver courses: grouping you by level, tracking progress, issuing certificates.
• To invoice and account for fees as required by Malaysian law.
• To send service messages about your lessons — schedule changes, term dates, teacher substitutions.
• To send occasional course news, only if you have opted in, and with an unsubscribe link in every message.

We do not sell, rent or trade your personal data. Ever.

3. Class recordings

Children's classes are recorded for safeguarding purposes. Adult classes may be recorded for teaching-quality review or, in private tutoring, to give you feedback material. Recordings are stored securely, retained for no longer than twelve months, and are never published or shared outside the school.

4. Who we share data with

Only the minimum necessary with parties who help us operate: our video-lesson platform, our email provider, our accounting service and payment processors. Each is bound by contract to protect your data and to use it solely for the service they provide to us. If a Malaysian authority lawfully requires disclosure, we comply — and where permitted, we will tell you first.

5. Where data lives and for how long

Student records are stored on servers located in Malaysia and Singapore. Enquiry data that never becomes an enrolment is deleted after twelve months. Student learning records are kept for three years after your last course, then anonymised. Financial records are retained for seven years as required by tax law.

6. Your rights under the PDPA

You may request access to the personal data we hold about you, ask us to correct it, withdraw consent to marketing at any time, or ask us to delete data we are not legally required to keep. Write to [email protected] and we will respond within 21 days.

7. Security

Access to student records is limited to staff who need it, protected by unique credentials and two-factor authentication. Our website is served over HTTPS. No system is perfect, but if a breach ever affects your data we will notify you promptly and honestly.
